Terms of Service

1. Who we are and these terms
Dugout Copilot is operated by Willman Ventures, LLC ("we," "us," or "our"). These Terms of Service apply to our website at dugoutcopilot.com and our application at app.dugoutcopilot.com (together, the "Service"). Questions may be sent to support@ultimatebaseballtraining.com.
These terms govern your use of the Service when you accept them. Our Privacy Policy explains how personal information is handled. Our Refund Policy explains the refund terms for your purchase. If a specific written offer at checkout gives you additional rights, we will honor those rights.
2. Eligibility and your account
The Service is intended for adult coaches and other authorized adults who are at least 18 years old. Children may not create or use their own accounts. If you use the Service on behalf of a team or organization, you must have authority to do so.
Provide accurate account information, keep your sign-in details secure, and notify us if you suspect unauthorized access. Do not share your account credentials. Any access for additional staff must use a feature or license that permits it.
3. What the Service provides
Dugout Copilot assists with baseball coaching preparation, team context, notes, and practice planning. Features may use artificial intelligence. Outputs can contain mistakes, omit context, or produce unsuitable recommendations.
You remain responsible for reviewing recommendations before using them. Consider players' ages, abilities, equipment, field conditions, supervision needs, and applicable league rules. Verify rules, workload limits, and safety decisions against appropriate authoritative guidance. The Service does not provide medical diagnosis, injury treatment, or a substitute for qualified professional advice. We do not guarantee particular player, team, competitive, or coaching outcomes.
4. Purchases, included access, and credits
The price, currency, payment terms, included features, access duration, and credit allowance presented on the applicable sales page and at checkout before you complete payment govern your purchase. Applicable taxes and any additional charges are disclosed before payment.
Prices, promotions, bundles, and included benefits may differ between offers and may change for future purchases. Later changes do not change the amount you already paid or remove rights and benefits included in the offer you purchased. We will honor the specific commitments made in that offer. Refund amounts are based on the amount actually paid, including applicable discounts, rather than a later advertised price.
A one-time purchase does not authorize recurring subscription charges. Where your offer includes lifetime access, that access commitment applies to the features included in that offer. It does not by itself mean unlimited AI usage or free access to every separately sold future product.
Dugout Credits are usage allowances for supported actions. They are not money, transferable currency, or an investment. Exhausting included credits does not cancel the app access included in your purchase, although actions requiring credits may be unavailable until more credits are obtained. Any optional top-up or upgrade must clearly show its price and require your authorization.
Payment is processed through Stripe. Product access may require account creation, email verification, and securely linking the completed purchase to your account. Refund rights are described in the Refund Policy and in any more favorable written promise accompanying your purchase.
5. Your content and player information
You retain the rights you hold in information and materials you submit. You give us permission to store, process, and transmit that content, including to the providers needed to operate the Service, for the purposes described in our Privacy Policy. This permission does not transfer ownership of your content to us.
Only submit information you are authorized to provide. Obtain any required permission from your organization, players, or parents/guardians. Use the minimum identifying information needed; nicknames or initials are preferable when full names are unnecessary. Do not enter sensitive medical records, government identifiers, passwords, payment-card details, or other unnecessary sensitive information in coaching notes or AI prompts.
Do not submit another person's content without the authority and permissions required for that use. These user responsibilities do not eliminate our own obligations under applicable law.
6. Permitted use
You may use the Service and its outputs for your authorized coaching activities, subject to these terms, the rights of others, and applicable law. We do not promise that AI outputs are unique or eligible for intellectual-property protection.
Do not use the Service unlawfully, upload content that violates another person's rights, attempt to access another user's data, bypass access or credit controls, introduce malicious software, overload the Service, or resell access without permission. Our software, branding, and other materials remain owned by us or our licensors.
7. Availability, updates, and account restrictions
The Service relies on internet access and third-party services. Maintenance, outages, or provider changes may interrupt availability. We may improve or update the Service while respecting commitments made in your purchase offer and applicable consumer rights.
We may restrict or suspend access where reasonably necessary to address fraud, security incidents, unlawful activity, or material violations of these terms. Where appropriate and legally permitted, we will explain the issue and provide a way to contact us about it. A refund or reversed payment may end access associated with that purchase. These provisions do not give us permission to disregard your statutory rights or our advertised commitments.
8. Disclaimers and limits
To the extent permitted by law, the Service and AI outputs are provided on an "as available" basis, without warranties beyond our express commitments and warranties that the law does not allow us to exclude.
To the extent permitted by law, we are not liable for indirect or consequential losses arising from use of the Service. Our total liability for claims relating to the Service is limited to the greater of $100 or the amount you paid us for the Service during the 12 months before the event giving rise to the claim.
These limitations do not exclude or limit liability for fraud, intentional misconduct, gross negligence, personal injury where liability cannot lawfully be limited, or any other liability or remedy that applicable law does not permit us to limit. Your non-waivable consumer rights remain intact.
9. Changes, law, and contact
We may update these terms and will identify the effective date. Material changes will be communicated as required by law. A later version will not retroactively remove refund or access rights attached to an earlier purchase. Where renewed agreement is required, we will obtain it.
These terms do not deprive you of mandatory legal protections that apply where you live. If a provision cannot be enforced, the remaining provisions continue to apply to the extent permitted by law.

10. Add-On Products
Dugout Copilot offers optional add-on products, such as The Parent Playbook, The Dugout Print Shop, and other tools we may offer in the future. Add-ons are separate products, sold separately, and are not included in your Dugout Copilot purchase or in future updates to Dugout Copilot. Each add-on is a one-time purchase unless stated otherwise, and gives you ongoing access to that add-on inside your Dugout Copilot account for as long as we offer the service.
Add-ons require an active Dugout Copilot account. Add-on features that use AI use your Dugout Credits. Any bonus credits included with an add-on are added to your account once.
Documents, messages, and other content created with add-ons are generated by AI to help you. Please review them before you use or send them. They are not legal, medical, or professional advice, and you're responsible for following your league's rules.
11. Payments and Saved Payment Methods
Payments are processed securely by Stripe. We never see or store your full card number. When you pay by card, Stripe may securely save your payment method so you can add optional offers to your order after checkout with one click. We only charge a saved payment method when you click to accept an offer that clearly shows its price. We never charge it for anything else without your action.
